The Plain English Promise
Zyncro Infotech Pvt. Ltd. ("Zyncro", "we", "us", or "the Company"), operating via zyncro.in, respects your data. We don't sell it. We protect it. When you trust Zyncro with your schedule and integrations, we take that responsibility seriously. This policy applies to all users of our platform and is publicly accessible to ensure transparency.

What We Collect & Why
Account Basics: Your name, email, and profile photo — so people know who they're booking with. Sourced from your Google or GitHub OAuth sign-in.
Google Calendar & Meet: When you connect Google, we store an OAuth refresh token (AES-256 encrypted). We read your calendar to detect conflicts and write booking events. We auto-generate Google Meet links. We do not read your meeting content or personal emails.
Zoom Integration: When you connect Zoom via OAuth, we store a refresh token to auto-create Zoom meetings on booking confirmation. We never access your recording history or contacts.
Microsoft Teams: We store a Microsoft OAuth refresh token to create Teams meetings via Graph API. We do not access your email, files, or Teams channels.
Payment Information: For Zyncro plan subscriptions, PayU & Razorpay handle card details — Zyncro never stores raw card numbers. For host Direct API payments, we store only encrypted gateway credentials. For managed payouts, we store verified bank account details.
Booking Data: Guest names, emails, and booking preferences — collected to fulfil scheduling requests and send confirmation/reminder emails.
Usage Analytics: Anonymized usage data (excluding any Google user data) is used to improve platform performance. No personal identifiers or calendar data are included.

How We Use Your Data
- To operate your booking pages and prevent double-bookings
- To auto-generate video call links (Google Meet, Zoom, Microsoft Teams) on booking confirmation
- To send booking confirmation, reminder, and follow-up emails to you and your guests
- To process and route subscription and booking payments
- To send automated morning and nightly briefing emails (only on days with bookings)
- To improve platform performance using anonymized data that excludes any Google user data

Third-Party Services We Use
- Google APIs — Calendar and Meet link generation
- Zoom API — Meeting creation for connected hosts
- Microsoft Graph API — Teams meeting creation
- Razorpay / PayU — Payment processing for plan subscriptions and host-gateway routing
- UploadThing — Profile photo and banner uploads
- Resend — Transactional email delivery
- Private Cloud — Secure private server infrastructure
We only share the minimum data necessary with each provider to deliver the service.

Google API Disclosure
Zyncro's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
- Access: We access your Google Calendar only to check free/busy status and to write new events for confirmed bookings.
- Storage: We store your encrypted refresh token to maintain connection. We do not store calendar event details or contact lists.
- Sharing: We do not share or sell your Google user data to third parties. Data is only used to provide the scheduling service.
Google User Data — What We Don't Do
- We do NOT Use Google user data for advertising or marketing
- We do NOT Use Google user data for user profiling
- We do NOT Use Google user data for analytics unrelated to scheduling
- We do NOT Use Google user data to train AI or machine learning models
- We do NOT Transfer, sell, or share Google user data with third parties

Zoom API Disclosure
Zyncro's Zoom integration is designed to automate meeting creation. We adhere to the Zoom Marketplace Developer Agreement and Privacy standards.
- Data Usage: We only use Zoom API data to create meeting links, update meetings if a booking is rescheduled, and display meeting details to the host and guest.
- Data Storage: We store your Zoom OAuth refresh token (encrypted) to maintain the integration. We do NOT store meeting recordings, chat logs, or participant lists.
- Data Sharing: We do not share Zoom user data with any third-party AI models or advertising platforms. Your data is used strictly for the Zyncro scheduling engine.
- Retention: Integration tokens are stored as long as the account is active. If you disconnect Zoom or delete your account, all related Zoom tokens are deleted instantly.
Section 07
Data Retention & Deletion
- Account & Profile Data: Retained until account deletion.
- Booking Logs: Retained for 24 months for your historical records, unless deleted sooner.
- Integration Tokens: Deleted immediately upon disconnection or account closure.
- Payment Records: Retained as required by law for tax and audit purposes (typically 7 years).

Data We Never Collect
- The content (body/subject) of your calendar events
- Your Zoom recordings or chat logs
- Your Microsoft Teams channels, emails, or files
- Raw payment card numbers (handled by PCI-DSS compliant gateways)
Section 09
Data Security
All OAuth tokens and sensitive credentials are encrypted at rest using AES-256 and in transit via TLS 1.3. Our infrastructure is hosted on private secure cloud servers with proactive firewall and DDoS protection. We conduct regular security reviews and operate under GDPR-aligned data practices.
Section 10
Your Data Rights (GDPR & Beyond)
You own your data. At any time, you have the right to:
Access
See what data we have — profile, bookings, and integration tokens
Correction
Fix details directly from your dashboard settings
Disconnect Integrations
Revoke any OAuth integration from Dashboard → Integrations at any time
Deletion
Permanently delete your account from Settings → Danger Zone. All data wiped instantly — no ghost copies retained
Data Portability
Contact us to request an export of your booking history
